HAM

For years, Hardware Asset Management (HAM) has been treated like the forgotten sibling of IT Asset Management (ITAM). Software gets all the attention—especially with the rise in audits—but hardware? It’s been shoved to the side.

Not anymore.

HAM is making a big comeback, and for good reason. Organizations are realizing that if you’re only tracking software, you’re missing half the picture—and that blind spot is costing you money. If you’ve been ignoring your hardware assets, it’s time to rethink your strategy. Here’s why HAM is back in the spotlight and what you can do to get ahead.

Why HAM Matters (More Than Ever)

Let’s be honest—hardware isn’t the shiny new thing in IT. It’s not as flashy as cloud migrations or AI, but here’s the reality: every piece of software you track runs on physical hardware. If you don’t know what hardware you have, where it is, or who’s using it, you’re setting yourself up for some serious problems.

Here’s why hardware is back on everyone’s radar:

1. The Rise of Hybrid Work

When everyone was working from the office, managing hardware was (relatively) simple. Devices stayed in one place. But now? Employees are working from everywhere—home offices, coffee shops, and anywhere with Wi-Fi.

Laptops, monitors, mobile devices—they’re scattered everywhere, which means more opportunities for loss, theft, or unauthorized use. If you don’t have a handle on your hardware inventory, you’re not just losing track of assets—you’re losing control.

2. You Cannot Succeed At Software Asset Management without Hardware (and End-Users)

To this day, every bit and byte of software is mostly licensed in one of two ways: either by hardware or by end-user (with the exception of  licensing based on concurrent usage, processor cores, or other factors. e.g., Oracle and IBM use core-based licensing, and cloud-based SaaS tools often charge per usage or storage).

That means you have little hope in stemming losses to software license audits without good data around who’s using your programs and what computers they’re running it on.  Furthermore, there are legal demands hidden in your Terms & Conditions that can make or break your true-ups: rights of second use, virtual machine environments, test environment declarations, and more.

If you can’t prove where your hardware is and how it’s being used, you’re at risk. And trust me—trying to figure that out after you’ve received an audit letter is too late.

3. Cost Savings Are Hiding in Plain Sight

Unused and underutilized hardware is one of the biggest sources of waste in most organizations. I can’t tell you how many times I’ve found closets full of forgotten devices that could have been redeployed instead of buying new equipment.

Without a HAM program in place, you’re probably overspending on new devices while perfectly usable ones collect dust.

What Happens When You Ignore HAM?

If you’re still on the fence, let’s talk about what happens when hardware management isn’t a priority:

  • Wasted Budget: You’re buying devices you don’t need while ignoring the ones you already have.

  • Increased Risk: Lost or stolen hardware means lost data—and the potential for serious compliance violations.

  • Audit Nightmares: Can’t track which hardware is running which software? You’re at risk of failing an audit.

  • Inefficiency: Your IT team wastes time manually tracking devices, dealing with outdated spreadsheets, and chasing down missing equipment.

The bottom line? Poor hardware management isn’t just inconvenient—it’s expensive and risky.

How to Bring HAM Back (The Right Way)

If your hardware tracking system consists of a few dusty spreadsheets and crossed fingers, don’t worry—you’re not alone. The good news? It’s never too late to get your HAM program on track. Here’s how to start:

1. Get a Clear Picture of Your Inventory

You can’t manage what you can’t see. Start by conducting a full inventory of all your hardware assets—laptops, servers, mobile devices, printers, and anything else connected to your network.

2. Track the Entire Lifecycle

Good HAM isn’t just about knowing what hardware you have—it’s about tracking each asset from purchase to disposal. This includes:

  • Procurement (When and where did you buy it?)

  • Deployment (Who’s using it, and where is it?)

  • Maintenance (Is it still functional, and does it need updates?)

  • Retirement (Is it being recycled or securely decommissioned?)

Having a complete lifecycle view helps you plan better and avoid surprise costs.

3. Integrate HAM with Your ITAM Program

Software and hardware management go hand-in-hand. If you’re treating them as separate processes, you’re missing opportunities to save time and money.

When you integrate HAM with ITAM, you can:

  • Ensure the right software is installed on the right devices.

  • Avoid paying for licenses on decommissioned hardware.

  • Simplify audit preparation by having a single source of truth.

4. Make HAM Part of Your Security Strategy

Lost or stolen hardware isn’t just a financial problem—it’s a security risk. Every device is a potential gateway to sensitive data if it falls into the wrong hands.

Put processes in place to:

  • Track who has access to what.

  • Ensure devices are wiped before disposal.

  • Respond quickly to lost or stolen hardware.

5. Bring in an Expert (Like Me!)

HAM can be overwhelming—especially if your current system is a mess. The good news? You don’t have to tackle it alone.

I help organizations like yours take control of their hardware assets, cut waste, and stay compliant. Whether you’re building a HAM program from scratch or need help untangling a chaotic one, I’m here to make the process easier.

Why HAM is Your Secret Weapon

Here’s the truth—while everyone else is busy chasing the latest software trends, smart organizations are paying attention to hardware. A well-run HAM program saves money, reduces risk, and gives you full visibility into your entire IT environment.

When you know where your assets are, who’s using them, and how they’re being managed, you’re not just staying compliant—you’re staying in control.

And if you’re ready to take control? I’m here to help.

FAQ

Q: Why should I care about hardware if I’m already tracking software?
A: Because hardware is where your software lives. If you can’t track your devices, you’re risking compliance issues, wasted budget, and lost assets.

Q: What’s the first step to improving my HAM program?
A: Start by getting a full inventory of all your hardware assets. Use automated discovery tools if possible—they’re faster, more accurate, and easier to maintain.

Q: How does HAM help with audits?
A: Auditors don’t just care about software—they care about where it’s running. HAM ensures you know which devices are in use, making audits faster and easier.

Q: Can you help me fix my HAM program?
A: Absolutely. Whether you need to start from scratch or improve what you already have, I’ll help you build a HAM program that works—and delivers results.
